5010-R Parent Organizations

In order to maintain appropriate internal financial control in accordance with sound accounting practices, the following procedures will be in place for admission to athletic events, dramatic performances, and other similar events in which parent booster organizations may be involved.

  1. Booster clubs will be allowed to issue passes to events for use by members of the booster organization as designated in the constitution and by-laws of the organization and upon the approval of the principal and/or the superintendent.

  2. The control of these passes will be the responsibility of the booster club. The booster club will work in cooperation with the principal of the school to enact procedures to ensure that passes are used only as intended and abuse of passes does not occur. The principal and the booster club will retain authority to revoke passes that are used fraudulently.

  3. The amount of financial consideration paid to the booster club in order to secure passes for events will be determined by the booster club, with final approval by the principal and/or superintendent. Reimbursement to the school in financial or in-kind contributions will be agreed upon by the booster club and the principal in accordance with sound accounting procedures and internal financial controls.

  4. Events for which passes are valid will be determined in advance by the school and booster club and cannot supersede any NCHSAA or Pender County Schools admissions policies, including but not limited to playoff games, scrimmages, and middle school games.

  5. A comprehensive list of issued passes will be provided to the principal prior to the first event for which passes are valid. Updates to the list will be provided as soon as they occur.

  6. The school shall be provided with a sample of a valid pass by the booster club for identification and admission purposes prior to the first event.

  7. As stated in Policy 5010, the financial records of the organization shall be reviewed annually by an independent individual selected by the principal.
